This policy is intended to support transparent handling of personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply.
1. Information We Collect
Depending on how you use the Platform, we may collect your name, email address, phone number, profile photo, professional background, biography, skills, role, country, time zone, availability, mentoring preferences, messages, bookings and service activity. Optional professional links may include LinkedIn, GitHub, X/Twitter, Facebook, Instagram, a portfolio or another professional website.
We may also collect technical and security information such as IP address, browser activity, session information and security-event records. We do not ask for or store the password to a linked social or professional account.
2. How We Collect Information
We generally collect information directly from you when you register, update your profile, communicate through the Platform or contact Barayamal. We may receive limited service and security information from hosting, email and other technology providers used to operate the Platform.
3. How We Use Information
We use personal information to operate and secure the Platform, review registrations, publish approved mentor profiles, support mentoring relationships, match participants, manage messages and bookings, send service communications, respond to support and privacy requests, improve the service and comply with applicable obligations.
4. Professional Links and Profile Visibility
Professional links are optional. If a mentor enters a link and Barayamal publishes that mentor's profile, the link is public, may be included in search-engine structured data, may be indexed or cached by search engines, and may be accessed from any country. Removing the link or making the mentor profile private stops Barayamal from displaying it, but external search engines or archives may take time to update their copies.
Mentee professional links are saved privately and are not displayed in the public mentor directory. They remain hidden unless the mentee enables the sharing control. When sharing is enabled, Barayamal administrators and mentors with an accepted booking dated within the past 90 days or in the future may view the links. Pending, rejected, cancelled and older relationships are excluded. A mentee can turn sharing off at any time without deleting the saved links.
Barayamal validates the format and destination hostname of supported links but does not automatically import linked account data and does not guarantee that a linked profile, qualification, organisation or body of work is current or authentic.
5. Disclosure of Information
We may disclose information to technology and professional service providers where reasonably necessary to operate and secure the Platform, respond to a lawful requirement, protect participants, or carry out another purpose with consent. We do not sell personal information.
6. External Websites
Selecting a professional link takes you to an independently operated website. That service may receive information normally sent by a web browser, and its own privacy policy and terms apply. Barayamal does not send a member's Barayamal password or identity document to a linked profile service.
7. Overseas Access and Processing
Public mentor information and public professional links can be accessed worldwide. Some technology providers or search engines may process information outside Australia. Where the Australian Privacy Principles apply to an overseas disclosure by Barayamal, we take reasonable steps required in the circumstances. Service providers and processing locations may change; contact us for current information relevant to a particular request.
8. Data Security
We use reasonable technical and organisational safeguards intended to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. No internet service can guarantee absolute security. Please report a suspected account or privacy incident promptly.
9. Access, Correction, Deletion and Withdrawal
You can update many account details and remove professional links in your account settings. You may request access to, correction of or deletion of personal information by emailing d.foley@barayamal.com.au. We may need to verify identity and may retain limited information where reasonably required for security, dispute handling or applicable law. Turning off mentee link sharing does not delete the saved links; deleting the link fields removes them from the profile record.
10. Cookies
We use cookies and similar technologies for sign-in, security and service operation and, where enabled, to understand and improve use of the Platform. You can manage cookie preferences through the available cookie controls and your browser.
11. Children and Young People
Young people should use the Platform with appropriate parental or guardian involvement where required. If you believe a child has provided personal information without appropriate authority, contact us promptly.
12. Sensitive and Cultural Information
When you register as a mentee, we may collect sensitive information, including Indigenous identity status, Mob or Traditional Country, and evidence of Aboriginal and/or Torres Strait Islander identity. We collect this information with consent for eligibility review and culturally appropriate mentoring. It is not required merely to browse the Platform.
13. Storage and Retention of Identity Documents
Identity documents are stored on the Platform's hosting infrastructure and are accessible only to authorised Barayamal staff for verification. We retain them while reasonably required for verification and account administration. On account closure or a verified deletion request, identity documents are scheduled for destruction within 90 days unless retention is required by law or necessary to address an active security, legal or dispute matter. Identity documents are not shared with mentors or other users.
14. Vouching by an Existing Mentor
If a mentee nominates an existing Barayamal mentor to vouch for them, Barayamal may tell that mentor the mentee's name and that they were nominated. The mentor is not shown an uploaded identity document. A nomination may be withdrawn before it is actioned.
15. Nature of the Platform
Barayamal connects mentees with mentors and Allies. Unless specifically stated, Barayamal does not conduct professional-credential, background or working-with-children checks. Participants should exercise their own judgement and follow Barayamal's safety guidance.
16. Privacy Questions and Complaints
For access, correction, deletion, a privacy complaint or another privacy question, email d.foley@barayamal.com.au or write to Level 2/11 York St, Sydney NSW 2000, Australia. Please explain the issue and the outcome you are seeking. Barayamal will acknowledge and assess the request and aim to respond within a reasonable period. If you are not satisfied with the response, you may be able to contact the Office of the Australian Information Commissioner at oaic.gov.au/privacy/privacy-complaints.
17. Changes to This Policy
We may update this policy. Material changes will be communicated by email or a notice on the Platform where reasonably practicable. The current version and effective date will remain available on this page.
